Welcome To The Captains Corner

As a Hood To Coast Team Captain, the following items are your responsibility prior to and on race weekend.

Travel and Accomodations

Plan ahead! HTC Relay staff is available to answer any questions you may have regarding team vehicle, hotel, and flight reservations. E-mail office@htcrelay.com with questions. As the Official Airline of the Hood To Coast/Portland To Coast Relays, Alaska Airlines is pleased to provide discounted travel for Hood To Coast participants. Registered participants receive an e-mail with a 10% travel discount information and booking link for the 2020 Relay!

Van and Van Decoration

Teams are encouraged to make a sign for each of their vehicles that reads: “CAUTION: WALKER ON ROAD” to place in the rear of the vans. Download and print free Caution signs here. Vans may not follow behind their walker.

Each team is limited to two vehicles, preferably a passenger van or SUV. All passengers must wear seat belts when in the vehicle. No vehicles wider than 80” or longer than 23’-0”. No motor homes, buses or limousines will be permitted. Failure to abide by this rule will result in disqualification.

Each team will be issued four signs, two are blue and two are white. On Van 1 place white signs on the front and rear driver side windows. On Van 2 place a blue sign on the back and front passenger side corner of windows. The blue sign is required to access legs #19-23 and #32-36.

Refrain from the use of foul or overly suggestive language for decorations. Have fun, but please use good judgment. To be as respectful as possible to the communities we pass through, race organizers prohibit music from being played outside the team vehicle on loud speakers!

Volunteers

Teams with at least one member residing within a 100 mile radius of Portland are considered local and required to provide three race volunteers. There is no buy-out option. Don’t bring children or dogs. Volunteers should be assertive and plan to work. Captains are responsible for ensuring that their volunteers each take (and pass) the mandatory online training, are at their appointed job, at the designated time, and fulfill the required tasks. Volunteers receive shirts on-site. Bring a flashlight and two LED flashers for a night shift. If a volunteer cannot report, it is up to the team to find a replacement and make sure they report to their specific job site.

Required Team Safety Equipment

Each team MUST have the following set of items in each of their vans and present them for inspection at the Check-In Tent.

– Two reflective vest
– Two LED flashers
– Two flashlight, headlamp or hat with headlamp.

*While it is highly recommended to have a First Aid Kit in your van, this is not a required item at Check-In.

Timing Chip and Race Bibs

Van 1 will be issued 6 bibs at the Start Check-In and Van 2 will be issued the other 6 bibs at the Exchange 18 check-in. In Van 2’s bibs, there will be one with a shiny silver timing chip on the back. This bib MUST BE WORN BY THE LEG 36 RACER. Your official start time will be recorded by Eclectic Edge Racing at the start line, this timing bib worn by the Leg 36 racer will determine your official finish time.

Penalties

Race officials record witnessed infractions; teams are permitted to watch and report rule infractions committed by others. Teams that wish to report penalties must do so in writing within 30 minutes of arriving at the Finish. Submit the written form at the Rules & Penalties Table. Be specific and detailed. You must identify the offending team by number. The Rules & Penalties Committee will evaluate all incidents; their decisions are final. To enforce a penalty, infractions must be reported by two or more teams. This system has resulted in disqualifications.

Hood to Coast Finish

The Finish Line is located on the beach, north of the turnaround of Broadway Avenue in Seaside, Oregon. Traffic and parking are very limited in Seaside; use of the free parking shuttle is highly encouraged!

Finishing as a Team: Team members often run across the Finish Line alongside their anchor walker officially completing the race. If your team chooses to do so, make sure your official Leg 36 (anchor) walker  leads your team to the Finish Line. They will be wearing a bib with a timing chip and will be credited with your team’s official finish. Teams awaiting their anchor walker should look for the “Team Waiting” signs near the finish banner. Write your team number on the form at the Team Waiting Area and hand it to the volunteer. Queue in the appropriate chute number as directed. Teams will be announced in the order their forms are received. Your team number will be called only one time, so please have all of your teammates ready to go!

Updated Finish Results: Team results will be updated as often as possible throughout Saturday. Final results will be posted online at www.hoodtocoast.com/results by Sunday evening. In the event you have questions or concerns regarding your finish time, please file a report prior to 8:30pm on Saturday to the Race Rules Tent.

Finisher Medals: Medals will be presented to each team as the anchor walker crosses the Finish Line. In the event of team disqualification, medals will be withheld and teams will be informed of the reason at the Race Rules Tent. Medals must be picked up on Saturday or at the HTC office in Beaverton, OR at a later date, they WILL NOT BE MAILED.

T-Shirt Size Exchange: Exchange of unworn participant race shirts is subject to availability at the Finish Merchandise Tent.

Finish Beach Party

Food and Beverage: Hood To Coast enthusiastically welcomes Century Catering to the 2018 Finish Party.

Full Sail Beer & Wine Garden: The Beer & Wine Garden is located within the fenced area at the Finish party on the beach. No beer or alcohol may be brought into the event area. Bring ID, proof of legal age is required. DESIGNATE A SOBER DRIVER IF YOU PLAN ON DRINKING ALCOHOL. DON’T DRINK AND DRIVE. BE RESPONSIBLE. Open containers on the prom are illegal and police will issue citations.

ATM: Need cash? Look for a Bank ATM vehicle and signs on the beach!

Team Suites

Team suites are available at the beach Finish Party to celebrate with your teammates, family, and friends. They’re ideal as a private team gathering place offering premium catered food, a private team suite bar area, fire pits and more. Space is limited, so reserve your suite soon! Awards Ceremony

Sunday at 10:00am, in front of the main stage on the beach, Hood To Coast awards will be given to the TOP FOUR teams in EACH CATEGORY. (Portland To Coast Awards will begin on Sunday at 9:00am). Awards WILL NOT BE MAILED to teams who aren’t present. Other pick-up arrangements should be made.

Special Awards Ceremony
Saturday at 5:25pm, the OVERALL HTC & PTC WINNING TEAMS will be announced and honored with their team name/year engraved on a large, leaded glass trophy that the event brings back annually! The Providence Cancer Center overall fundraising results will be announced in front of the main stage as well!
